At EVTL India, we are committed to providing transparent and professional services. This policy outlines the terms and conditions governing cancellations, refunds, and the return of samples to ensure a clear understanding between our organization and our clients.

REFUND ELIGIBILITY & CRITERIA

We strive for excellence, but we recognize that circumstances may change. Refund requests are evaluated based on the following eligibility criteria:

• Pre-Initiation Cancellation: If a service is canceled by the client before any operational work or documentation has commenced.
• Operational Limitations: In instances where EVTL India is unable to deliver the service due to internal technical or operational constraints.
• Incomplete Service Delivery: For projects where only a portion of the scope has been met, a pro-rata partial refund may be considered.
• Exceptional Circumstances: Special cases reviewed and approved by the Senior Management on a case-by-case basis.

Important Note: Once the requested services have been fully executed and delivered, the fees are considered earned and are no longer eligible for a refund.

REFUND DISBURSEMENT METHODS

To ensure security and financial transparency, all refunds are processed through traceable banking channels. No exceptions will be made regarding the following methods:

REFUND REVIEW & INTERNAL AUDIT

Every refund request undergoes a rigorous internal verification process. EVTL India reserves the right to assess:

• The current stage of the service lifecycle.
• Man-hours and resources already dedicated to the project.
• Administrative overheads incurred during the processing stage.

Outcome of Review: Based on the audit, the company may authorize a Full Refund, a Partial Refund (after deducting operational costs), or Declined Refund (if the work is finalized).

REFUND PROCESSING TIMELINE

Once a refund is formally approved by our accounts department:

• The transaction will be initiated within 3 to 10 business days.
• Please Note: The actual reflection of funds in your account may vary depending on your banking institution’s processing cycles and public holidays.

POLICY ON SAMPLE RETURNS

For clients requiring the return of physical samples submitted for testing or certification:

• Advance Notification: The intent to have samples returned must be clearly communicated in writing at the time of initial submission.
• Retention Period: Return requests must be formally lodged within 90 days from the date of submission.
• Expiry: Samples not claimed within this 90-day window may be disposed of or handled as per laboratory protocols, and subsequent requests may not be entertained.

SHIPPING & LOGISTICS FOR RETURNS

• Cost Responsibility: All logistics, courier, and handling charges for the return of samples are to be borne exclusively by the client.
• Coordination: EVTL India will facilitate the dispatch only after receiving written confirmation and payment of shipping costs from the client.
• Terms: Shipping methods and estimated costs will be mutually agreed upon prior to dispatch.

NON-REFUNDABLE STATUTORY CHARGES

Certain costs are paid to external bodies and cannot be recovered once the process has started. These include, but are not limited to:

• Government Official Fees and Levies.
• BIS Application and Processing Fees.
• Laboratory Testing and Technical Analysis Charges.
• Third-party consultancy or external documentation fees.
• Administrative costs for work already completed by our team.
